Job Responsibilities:

  • Receives and responds to or redirects telephone inquiries from the public. Reviews and distributes all incoming and outgoing mail. Maintains files of office correspondence, reports and other materials.
  • Maintains offender visiting records to include card file with up-to-date list of visitors or input visitor information into Offender Based Information System (OBIS).
  • May distribute disciplinary reports weekly or may gather information needed in order to respond to offender grievances.
  • Orders supplies and forms as needed.
  • Types correspondence, reports, memorandums and other departmental data. Composes routine correspondence. Takes and transcribes minutes from staff meetings.

Job Requirements:

  • Ability to communicate effectively.
  • Ability to work with highly confidential information
  • Knowledge of basic filing practices.
  • Ability to operate general office equipment.
  • Knowledge of correct spelling, punctuation and grammar usage.
  • Knowledge of basic arithmetic.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to comply with strict deadlines
  • Skills in typing.

Qualification & Experience:

  • Two years of clerical experience or possession of a Certified Professional Secretary Certificate.
  • High School Diploma or its equivalen
